At a glance

A dedicated dispatcher through VirtuHire US runs $1,200 to $2,400 a month, flat, for one full-time person who works only for your shop. Smith.ai (live-agent plans) charges $300 for 30 calls up to $2,100 for 300 calls, so the same budget buys about 127 to 335 calls a month, or 6 to 15 calls a business day. PATLive charges $99 for 50 minutes up to $1,499 for 1,000 minutes, so the same budget buys about 746 to 1,533 minutes, which PATLive's own estimate puts at roughly 298 to 613 calls (14 to 28 a business day). Answering services win on 24/7 coverage and low or spiky volume. A dedicated dispatcher wins when calls must end as booked, dispatched jobs in ServiceTitan, Housecall Pro or Jobber, and when you want missed calls returned and open quotes chased between calls.

Short version: an answering service is the better buy for low call volume, spiky seasonal overflow, or true round-the-clock answering. A dedicated dispatcher is the better buy when your phones are busy every business day and the job is not finished until a tech is on the board.

What Smith.ai charges for live agents

Smith.ai prices its human-staffed receptionist plans by calls handled per month, with a per-call overage above the plan. Prices below are from Smith.ai's published pricing page, checked October 16, 2026, and match our previous check on October 4, 2026. Smith.ai also sells AI-first plans; this guide compares only the live-agent plans.

Smith.ai lists add-ons on the same page, including $1.50 per call to book appointments on your calendar. For an HVAC shop where most calls should end as a booked job, that add-on raises the real per-call cost.

What PATLive charges

PATLive prices live call answering by receptionist minutes per month, with a per-minute overage. Prices below are from PATLive's published pricing page, checked October 16, 2026. The page states taxes and fees are extra, offers a 14-day free trial and no contracts, and publishes larger plans above 1,000 minutes.

The break-even maths

The question is simple: for what a dedicated dispatcher costs each month, how much answering-service capacity could you buy instead? Method:

  1. Take a monthly budget equal to the dedicated seat: $1,200 and $2,400 (the ends of the band), plus $1,400 and $2,000 (the usual range for an HVAC dispatcher, per our HVAC page).
  2. For each provider, try every published plan that fits the budget, spend the rest on overage, and keep the plan that buys the most calls or minutes.
  3. Divide by 21.7 business days a month to get a daily figure. For PATLive, divide minutes by 2.5 (PATLive's own estimate) to get calls.
Dedicated dispatcher per monthSmith.ai buysSmith.ai per business dayPATLive buysPATLive per business day (at 2.5 min a call)
$1,200127 calls (Basic + 37 overage calls)~6 calls746 minutes, ~298 calls (500-minute plan + 246 overage minutes)~14 calls
$1,400146 calls (Basic + 56 overage calls)~7 calls858 minutes, ~343 calls (500-minute plan + 358 overage minutes)~16 calls
$2,000203 calls (Basic + 113 overage calls)~9 calls1,296 minutes, ~518 calls (1,000-minute plan + 296 overage minutes)~24 calls
$2,400335 calls (Pro + 35 overage calls)~15 calls1,533 minutes, ~613 calls (1,000-minute plan + 533 overage minutes)~28 calls

How to read it: if your shop takes more calls a business day than the figure in a row, the answering service would cost more than a dedicated dispatcher at that rate. Two adjustments change the picture:

  • Booking on Smith.ai. If every call is booked with the $1.50 add-on, $1,200 buys about 111 calls (not 127) and $2,400 about 285 calls (not 335).
  • Longer calls on PATLive. Qualifying a no-cool call, taking an address and booking a slot can run past 2.5 minutes. At 4 minutes a call, the $1,200 row drops from about 298 calls to about 186.

The honest read: against Smith.ai, a dedicated dispatcher usually costs less once you pass about 6 to 15 calls a business day, depending on where in the band your hire lands. Against PATLive's per-minute pricing, the break-even sits much higher, so most shops choosing a dedicated dispatcher over PATLive are paying for the work after the call, not a lower price per call.

What a dedicated dispatcher does that an answering service does not

An answering service takes the call, follows a script and passes on a message or a booking. A dedicated dispatcher works only for your shop and stays on the work between calls:

  • Dispatches. Assigns the right tech by skill and route, reschedules when a job runs long, and updates customers on ETAs and parts.
  • Works your field-service software. Books straight into ServiceTitan, Housecall Pro, Jobber or FieldEdge, so the call ends with a job on the board, not a message in an inbox.
  • Calls back missed calls. Works the missed-call and voicemail list during the shift instead of leaving it for the morning.
  • Chases open quotes. Follows up on replacement and repair estimates that went out and never closed.
  • Learns your shop. The same person every day learns your service area, your techs, your pricing and your repeat customers.

The test for any option: when the call ends, is the job on the board with a tech assigned, or is it a message waiting for someone?

When an answering service is the better choice

  • Low volume. A few calls a day costs less on a starter answering plan than on any full-time hire.
  • True 24/7 emergency coverage. Smith.ai and PATLive answer around the clock. One dedicated dispatcher covers one shift. Evening and weekend shifts can be recruited for, but overnight coverage every day takes more than one person.
  • Spiky volume. If a heat wave triples your calls for two weeks and the rest of the year is quiet, per-minute or per-call billing follows the spike.
  • You want US-based agents. Both services advertise US-based answering. If that matters to your customers, it is a legitimate reason to pay their rate.

Many HVAC shops combine the two: a dedicated dispatcher for the business-hours rush and an answering service for overnight emergencies and overflow.

How hiring a dedicated dispatcher works

  1. Book a 15-minute call. The team learns your software, your daily call volume and the hours you need covered.
  2. Top three candidates with video introductions in about a week (5 business days).
  3. Interview and choose. A one-month deposit confirms the hire, then a monthly retainer.
  4. Month-to-month, no minimum term. VirtuHire US is the employer of record and handles payroll, tax and compliance.
  5. 30-day no-cost replacement if the fit is wrong in the first month.

VirtuHire US has served 272 clients with 750+ placements and 93% retention (August 2025 internal data).

How we built this guide

Smith.ai prices are from its receptionist pricing page (smith.ai/pricing/receptionists) and PATLive prices from its pricing page (patlive.com/pricing), both checked on October 16, 2026. PATLive's calls-per-plan estimates are PATLive's own. Break-even, per-day and per-call figures are our arithmetic from those published prices. We do not cite industry-wide HVAC call-volume figures; use your own phone-system data. VirtuHire US rates are our own current band. Both providers change plans from time to time, so check current pricing directly before you budget against it.

VirtuHire US is one of the options on this page and publishes this guide. We place dedicated staff, not an answering service. Competitor prices are copied from their own pricing pages and dated; where a provider does not publish something, we say so rather than guess.

Frequently asked questions

What is the best answering service for HVAC companies?

It depends on your call volume and what has to happen after the call. VirtuHire US places a dedicated dispatcher for $1,200 to $2,400 a month who books and dispatches inside ServiceTitan, Housecall Pro or Jobber and follows up between calls, which suits shops with busy phones every business day. Shared answering services such as Smith.ai (per call) and PATLive (per minute) suit low or spiky volume and true 24/7 coverage.

How much does an HVAC answering service cost?

Smith.ai's live-agent plans run $300 a month for 30 calls, $810 for 90 calls and $2,100 for 300 calls, with $8.50 to $11.50 per extra call. PATLive runs $99 for 50 minutes up to $1,499 for 1,000 minutes, with $1.69 to $2.99 per extra minute on those plans, plus taxes and fees. Both checked October 16, 2026.

What is the difference between an HVAC dispatcher and an answering service?

An answering service shares its agents across many businesses, follows a script and passes on a message or a booking. A dedicated dispatcher works only for your shop, assigns techs by skill and route inside your field-service software, reschedules, updates customers on ETAs, calls back missed calls and chases open quotes between calls.

At what call volume is a dedicated dispatcher cheaper than an answering service?

Against Smith.ai's live-agent plans, a dedicated dispatcher at $1,200 to $2,400 a month costs less above roughly 6 to 15 calls a business day (127 to 335 calls a month). Against PATLive's per-minute plans the crossover is higher, roughly 14 to 28 calls a business day at PATLive's own 2.5-minute call estimate, so there the case rests on the work done after the call.

Can a dedicated dispatcher cover nights and weekends?

A dedicated dispatcher works the hours you set, and evening and weekend shifts can be recruited for. One person covers one shift, so true 24/7 emergency coverage needs either a second seat or an answering service for overnight calls.

Does a dedicated dispatcher work in ServiceTitan, Housecall Pro or Jobber?

Yes. A dedicated dispatcher works inside your own dispatch board in ServiceTitan, Housecall Pro, Jobber or FieldEdge, so each call ends with a job booked and a tech assigned rather than a message waiting for someone.

How quickly can I hire a dedicated HVAC dispatcher through VirtuHire US?

VirtuHire US sends your top three candidates with video introductions in about a week (5 business days). A one-month deposit confirms the hire, then a monthly retainer, month-to-month with no minimum term. VirtuHire US is the employer of record, and there is a 30-day no-cost replacement if the fit is wrong.
