Construction projects run on paperwork: RFIs, submittals, takeoffs, drawings, insurance certificates, lien waivers and pay applications. Most of it can be done by one dedicated remote hire working inside your own software. VirtuHire US places pre-vetted South African project coordinators, estimating assistants, CAD drafters and construction admin staff at $1,400 to $2,800 per month full-time, all-in, which is 60 to 85% below the cost of a comparable US hire. They work only for you, on your hours. Site supervision, drawing approval, bid sign-off and change orders stay with your team.
Where construction offices lose time
Crews and equipment are the visible part of a construction business. Much of what decides whether a project runs on time and gets paid happens at a desk, and most of that desk work can be done remotely:
- Project managers become paperwork managers. RFI logs, submittal tracking, meeting minutes and daily reports pull PMs off site, and the jobs feel it.
- Estimators spend hours before they estimate. Downloading plans, sending bid invites, counting quantities and chasing subcontractor numbers comes before any real pricing judgment.
- Drawing revisions queue up. Shop drawings, as-builts and redline updates wait for whoever has a free afternoon.
- Missing paperwork costs money. An expired subcontractor insurance certificate or a missing lien waiver can hold up a payment or expose you to risk.
- Pay apps decide cash flow. A pay application that goes out late or with errors gets paid late.
- The software already runs in the cloud. Procore, Buildertrend, Autodesk Construction Cloud, Bluebeam and cloud accounting mean nobody needs to sit in your office to keep projects documented.
The seat most construction companies hire first
Most contractors start with one strong project coordinator. In a typical week that person:
- Keeps RFI and submittal logs current, sending, tracking and chasing responses so nothing sits unanswered.
- Takes meeting minutes and turns action items into follow-ups with subcontractors and suppliers.
- Updates the schedule and daily reports from your project manager's notes and the photos your field team captures.
- Collects subcontractor paperwork: insurance certificates, W-9s and lien waivers, with expiry dates tracked.
- Prepares the pay application draft from your schedule of values for your project manager to review.
As volume grows, a second hire usually takes estimating support or drafting. Screening focuses on what matters in construction admin: attention to detail, follow-through, clear written English and comfort working inside project software.

Where the US figures come from. Median annual pay from the US Bureau of Labor Statistics Occupational Outlook Handbook, May 2025 data: secretaries and administrative assistants $48,310, bookkeeping clerks $50,670, architectural and civil drafters $66,150, cost estimators $78,740 (cost estimators in construction of buildings: $84,610). Benefits make up 30.0% of total compensation for US workers (US Bureau of Labor Statistics, Employer Costs for Employee Compensation, June 2026), so each median is divided by 0.70 and then by 12 to give a loaded monthly cost. These are national medians for the closest occupation, and wages in your metro may run higher or lower. An offshore estimating assistant supports your estimator rather than replacing them, so the estimator figure is a reference point, not a like-for-like swap. Dedicated hire vs freelancer vs adding a US hire
| Option | Who does the work | Learns your projects and standards | Monthly cost | Best for |
|---|---|---|---|---|
| Dedicated remote hire (what VirtuHire US places) | One full-time person who works only for your company | Yes, stays in the seat | $1,400 to $2,800, flat | Steady weekly project admin, estimating or drafting volume |
| Freelance marketplace | Whoever is available for each task | Rarely, often a new person each time | Per task or hourly | One-off drawings or overflow takeoffs |
| US in-house hire | A local employee | Yes | About $5,750 to $9,370 loaded | Roles that must be on site |
Hours and coverage
Staff are recruited for your schedule, and hours are confirmed in writing before you interview anyone:
- East Coast companies. A South African afternoon and evening shift lands on your full business day, at the same flat monthly rate.
- West Coast companies. South Africa is 9 to 10 hours ahead of Pacific time, so the shift is set later in the South African day. A roughly 5pm to 2am South African shift covers 8am to 5pm Pacific.
- Early site days. If your office runs on a 7am start, tell us the exact schedule on the call and the team recruits for it.
What stays with your team
A remote hire runs the office and technical support side of your projects. Some things should stay with you:
- Site work and supervision. Your superintendents and crews run the job site.
- Drawing approval and stamping. A drafter works from your redlines and standards. Your licensed architect or engineer reviews, approves and stamps every drawing.
- Bid sign-off. Takeoffs and bid leveling can be prepared for review, but your estimator decides scope, pricing and markup.
- Change orders and contracts. They track and file change orders and contract documents. Approvals, negotiation and any legal question stay with your team.
- Payments. Pay apps and invoices are prepared for review. Your team approves what goes out and releases payments.
How it works
- Book a 15-minute call. We learn your project software, the role, your hours and what good looks like in the seat.
- Sign a simple zero-obligation agreement so the team can start recruiting for you.
- Get a shortlist in about a week. Your top three candidates come with resumes and short video introductions, so you can judge communication before any interview.
- Interview and choose. You review and interview before you pay anything or commit to anyone. Add a test takeoff or drawing exercise if you want one.
- Confirm the hire. A one-month deposit confirms it, and the monthly retainer starts only when your new hire begins.
- Onboarding. Role-based access to your project software and drawing files, 2FA on every account, and your standards and SOPs handed over before day one.
- 30-day replacement guarantee. If the fit is wrong in the first month, we replace at no extra cost.

Frequently asked questions
What does a virtual assistant do for a construction company?
They run the office side of your projects remotely: logging RFIs and submittals, keeping schedules and daily reports current, collecting subcontractor insurance certificates and lien waivers, preparing bid packages and quantity takeoffs for your estimator, drafting from your redlines, and building pay applications for your project manager to approve. They work inside your own project software and email. They do not go on site, supervise crews, sign drawings or approve change orders, which stay with your team.
Can you hire an offshore construction drafter?
Yes. A dedicated South African drafter can produce shop drawings, as-builts and drawing revisions from your redlines, markups and field notes. Your licensed architect or engineer reviews, approves and stamps every drawing. Name your CAD software and drawing standards on the intro call. The team looks for candidates who have used it, but experience with your exact software is not guaranteed on every search.
How much does offshore construction staff cost?
A dedicated South African hire through VirtuHire US runs $1,400 to $2,800 per month full-time, all-in, depending on the role and experience. Document control and project admin seats sit at the lower end, estimating support and CAD drafting at the top. A US architectural or civil drafter has a median pay of $66,150 a year and a US cost estimator $78,740 (US Bureau of Labor Statistics, May 2025), roughly $7,880 and $9,370 a month once benefits are loaded.
Can an offshore estimator do quantity takeoffs?
They can do takeoffs and bid prep from your plans, chase subcontractor bids and level them in a spreadsheet, so your estimator starts from a built number instead of a blank set. Your estimator decides scope, pricing and markup and signs off every bid.
Do your staff know Procore and Buildertrend?
Construction tools such as Procore, Buildertrend, Autodesk Construction Cloud, Bluebeam and QuickBooks or Sage run in the browser or on a shared cloud account, so a remote hire can work in them with role-based access. Name your stack on the intro call and the team looks for candidates who have used it, but experience with your exact platform is not guaranteed on every search. Your own file standards and processes are covered in onboarding before day one.
Can they prepare AIA pay applications and lien waivers?
Yes, on the administrative side. They build pay applications (such as AIA G702 and G703) from your schedule of values and percent complete, track retainage, and collect conditional and unconditional lien waivers from subcontractors. Your project manager approves every pay app and your team decides any legal or contractual question.
What hours do they work?
Staff are recruited for your schedule and the hours are confirmed in writing before you interview. A South African afternoon and evening shift covers the East Coast business day, and a later shift covers Pacific time. Early-start schedules that match a 7am site day can be recruited for as well, at the same flat monthly rate.
Is this a freelancer or a shared agency seat?
No. Every placement is one dedicated full-time person who works only for your company, learns your projects and stays in the seat. VirtuHire US is the Employer of Record, so contracts, payroll, compliance and HR in South Africa are handled for you.
Can I interview candidates before paying anything?
Yes. You sign a zero-obligation agreement so recruiting can start, then review and interview your shortlist before you pay anything or commit to anyone. Payment starts only when you confirm a hire, with a one-month deposit, and the monthly retainer begins when your new hire starts.
How quickly can we get a shortlist?
Your top three candidates, with resumes and short video introductions, usually arrive in about a week after the brief. Start dates depend on interviews and the candidate's notice period, so we confirm them once you have chosen someone.
